Full-Time Summer Position – 12 Weeks Duration

Job Skills is a non-profit organization, dedicated to enhancing people’s capacity to participate in the labour market, thereby contributing to the economic and social viability of our community.

STUDENT ROLE:

At Job Skills, an Administrative Assistant (Student) is expected to work in unison with the Job Skills Team, in the deployment of Job Skills’ strategic priorities and vision, which have been designed to enhance the organization’s ability to meet and exceed its objectives.  This position will report to Manager/Facilitator, Job Find Club and indirectly to the Director, Newcomer Services & Programs.

QUALIFICATIONS: 

The successful candidate (Student) will meet the following criteria:

  • Must be between 15 and 30 years of age at the start of employment
  • Must have been registered as a full-time student in the previous academic year and intend to return to school on a full-time basis in the next academic year
  • Must be a Canadian citizen, permanent resident, or person to who refugee protection has been conferred under the Immigration and Refugee Protection Act (note:  foreign students are not eligible)
  • Must be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations

 

Students must also have the following qualifications/skills:

  • Be enrolled in either a College and/or University level program, majoring in one of the following programs:
    • Business Administration
    • Social Sciences
    • Social Work
    • Career and Work Counseling
    • Human Resources
    • General Arts
  • Have excellent communication skills (written, verbal)
  • Have excellent customer services skills with both internal and external customers
  • Have superior organizational skills, with the ability to multi-task, in a fast-paced environment
  • Be proficient in MS Office Applications (Word, Excel, PowerPoint and Access)

 

GENERAL TASKS AND RESPONSIBILITIES:

The Administrative Assistant is based at the Job Skills’ Markham Employment Services location, in Markham, Ontario and will support the Job Find Club. Travel to the individual Job Skills’ offices will be on an “as required” basis.

The Administrative Assistant will be responsible for the following learning objectives and job tasks:

 

Administration

  • Become familiar with Job Skills’ mandate, objectives and programs (e.g. Employment Services, Youth Job Connection, Right Fit, Fast Forward, Smart Start, COJG, Business Services, Welcome Centre, Job Search Workshop, Job Find Club, Employment Settlement Specialist Services etc.), through the review of available literature, involvement in staff meetings and site specific visits.
  • Learn to operate basic office equipment (e.g. telephone, photocopier, facsimile machine, postage machine, desktop computer, including related computer programs, e-mail and directories, as appropriate)
  • Provide clerical and data entry support for the Job Find Club
  • Maintain tracking records for those making Job Find Club inquiries
  • Prepare folders for weekly Information Sessions and workshops
  • Responsible for data entry into multiple systems (e.g. Excel, Access, Job Skills Database)
  • Create and maintain systems for efficient management of all Job Find Club documents and information
  • Record and prepare minutes of meetings, as required
  • Assist clients to book appointments.
    Prepare and maintain accurate statistical reports, correspondence, memos and other materials
  • Scan and store client files and related information
  • Assist in assessing office supply needs and ensure proper storage of same

 

Communication

  • Provide general information to walk-in clients and provide an overall description of the Job Find Club Program
  • Develop and maintain a working relationship with all Job Skills’ Departments, at all Job Skills’ offices
  • Provide reception duties for the Job Find Club, communicating efficiently and effectively with internal and external customers
  • Receive, screen and forward telephone calls, take messages and provide information to callers
  • On daily basis reconfirm appointments with scheduled clients, to reduce the no-show factor
